Where did lists go in HubSpot? How to use segments to fix funnel gaps

If you recently logged into HubSpot and wondered where your contact lists disappeared to, don't worry. HubSpot updated its navigation and terminology: Lists are now called Segments.

Where to find Segments in HubSpot

You can access your existing lists and create new ones by navigating to CRM → Segments in the main menu. They still allow you to group contacts, companies, deals, and custom objects.

 

Static vs. active segments: knowing the difference

  • Static Segments: A fixed snapshot of records gathered at a single point in time. Records must be manually added or removed.

  • Active Segments: Dynamic groups that continuously update in real time. Records automatically join when they meet the criteria and drop off when they no longer qualify.

Tactical strategy: use active segments to uncover revenue bottlenecks

Instead of simple demographic lists (e.g., "Manufacturing Leads"), use active segments to pinpoint where prospects get stuck in your buyer's journey:

  • Pricing visitors without sales contact: Contacts who viewed high-intent pricing pages but have no logged sales activity.

  • Stalled opportunities: Deals in active pipeline stages with no rep activity for 30+ days.

  • Uncontacted MQLs: Marketing Qualified Leads who haven't received a timely sales follow-up.
