Duplicate contacts are more than just a minor annoyance; they skew marketing analytics, disrupt sales communications, and silently create major CRM reporting issues.
Navigate to your Contacts view in HubSpot.
Open the contact record you want to retain as the primary record.
Click the Actions dropdown menu below the contact's name.
Select Merge.
Search for and select the duplicate record you want to combine.
Review the primary selection carefully and confirm the merge.
Crucial Warning: Merging contacts is permanent and can't be undone. Always double-check that you've selected the correct primary record before finalizing.
Cleaning up duplicates manually is an endless loop if you don't address where they're coming from. Look into your data entry channels:
Imports: Standardize CSV mapping rules and email formats before importing.
Forms: Enforce form validations and prevent unauthenticated multi-submissions.
Integrations: Check API sync parameters between your CRM, ERP, and third-party tools.
